Why do some people who opt out of a lead nurting track, continue to receive email?

When someone opts out of a lead nurturing track they are opting out of only that particular track. Any other tracks they are on continue to send emails.

Other than the lead nurturing issue mentioned above, under what circumstances would someone who opts out of receiving email continue to get email?

If someone is on an email list in two different databases, opting out of one will not opt them out of the other. They’ll need to opt out of each database individually.

Why is it that some emails I send from LeadMaster are delivered as SPAM to my Outlook?

This is a result of both Outlook and an individual’s security settings. You can try opening Outlook and going to Tools >Trust Center >Automatic Download and review the settings. IF "Permit downloads in e-mail messages from senders and to recipients defined in the Safe Senders and Safe Recipients List used by the Junk E-mail filter”, AND/or “Permit downloads from Web sites in this security zone: Trusted Zone” are enabled, then the you will need to add add “*.crmtool.net” to your Trusted sites. This can be found under "Tools > Options". Typically, “*.crmtool.net” can be added and that will cover it. In some cases you may need to add the email address *@crmtool.net to your Safe Senders list.

Where does the list of email addresses in the 'From' email come from in E-Marketing?

When you see multiple email addresses in the ‘From’ section of the email template in E-Marketing, those addresses are coming from verified email addresses for the user. (Look in Administration / Email Address Verification)

Why don’t the merge fields work when sending a test email?

- The merge fields are associated with a specific record. Since the test email doesn’t have a record associated with it there is nothing to merge.

- If you’d like to test your email to confirm that is it merging correctly we suggest that you create a record with your contact information and you send the email to yourself as a test.

Why don't the merge fields work in email templates?

- This sometimes happens when a user highlights only part of the variable and then formats it resulting in formatting tags getting between the brackets [ ].

- For example [ContactFirstName]. There cannot be anything inside of the left and right braces besides “ContactFirstName”. The code should read:

- Note the bracket, then the format, then ContactFirstName is incorrect. [ContactFirstName]

- It should be format, bracket, ContactFirstName, bracket [ContactFirstName]

- You can correct the html by opening the template and either fixing the code from the HTML view or by removing that entire line and re-entering the merge field and ensuring that you fully highlight the entire merge field including braces prior to applying any formatting.

- The issue is only an issue when the user does not highlight the entire merge field and braces when applying formatting.

Why do I find garbage in signature sent to the Client using Email Templates?

- This is typically a result of using copy/paste of your signature from one of your existing Emails that you have in Outlook or from Word. When you do this it copies in the Microsoft Office formatting. This is known to cause issues with the LeadMaster email editor. If you are going to copy/paste from an Outlook email or a Word document you will need to use the “Paste from Word” icon located on the email editor.

- To ensure that your signature will render correctly, it is recommended that you create a primary signature within the application using the email editor only.

- An alternative is to create each of your templates with a signature in the template using the email editor to do so.


Is there some way to test and verify that an email being sent from my email address by the LeadMaster server does not have some negative ‘phishing’ effect?


- A “phishing” error message is triggered by the tracking code that LeadMaster inserts into email messages sent from the system in order to “track” when someone opens on an email, clicks on a link etc for E-marketing reporting. The email sent from LeadMaster with the “tracking code image” in it is seen by the users settings as an attempt to verify an email address, “Phishing”.




- The recipient must have emails coming from “you” thru the system added to the “Trust Center”. In Outlook go to Tools >Trust Center >Select Automatic Download and review the settings. IF "Permit downloads in e-mail messages from senders and to recipients defined in the Safe Senders and Safe Recipients List used by the Junk E-mail filter, AND/or Permit downloads from Web sites in this security zone: Trusted Zone are enabled then the end user will need to add you to their safe senders list, which can be found under "Tools > Options". Typically, “*.crmtool.net” can be added and that will cover it. In some cases the user may need to add your specific email address and/or select the option to automatically add “Contacts” to their “Safe Senders” list.




How does LeadMaster restrict emails with an invalid address from being sent to the sender?



There is a facility in LeadMaster that recognizes when emails bounce called the Bounce Manager. It is available in the administration section. It shows you both the hard and soft bounces (hard bounce means invalid address, soft means error – eg. Mailbox full) and allows you to mark the email address as bad. The bad email designation is located in the edit/update section of the contact record. If an email address is marked as ‘Bad’ then email will not be sent to that email address.




How do you send an email notification to the assigned to the account manager/partner rep about a new lead?


In the administration section of LeadMaster, there is a facility to manage the email content for various functions in the system. The Express email notification is used when a record is assigned to user. Express email supports merge fields so the email notification can contain details of the record being assigned


Does LeadMaster enable personalization of emails?



Yes. LeadMaster enables personalization through extensive mail merge capabilities.



How do I transfer all the communication done via Email content and attachments out of LeadMaster to an Outlook file that is specific to the new client?

- Currently the LeadMaster does not provide a means of downloading the Email History (content and attachments) either at the individual level or in bulk.

- As a workaround you can use the Outlook sync tool to sync emails sent from LeadMaster in your Outlook

How can I reconfigure the registry on my PC as it relates to storing my LeadMaster credentials for the Outlook sync tool?

- Uninstalling and reinstalling will not help. However, there is a way to have the email history add-in wipe out the logon information, which in turn will prompt the user for the logon information. Here are instructions; these require the user to have permission to access the Registry on their system.

- On the LeadMaster support page is a REG file that you will use to wipe out the logon information in the registry. It’s been renamed because Outlook blocks files with the .reg extension. Do this:

1. Extract ResetLogon.reg.txt to disk


2. Change the file name to ResetLogon.reg by removing the .txt extension (you won’t be able to do that if you have Windows configured to hide extensions for well-known file types. That’s a property of each folder so if you can’t see the .txt on the name when you copy the file to disk you’ll need to change the folder options.)

3. Right-click ResetLogon.reg and select Merge

4. You’ll get a prompt from Registry Editor asking if you want to add the information from that file to the registry - answer Yes


5. Then you should see a second popup from Registry Editor saying the information was added - click OK

6. The next time that you start Outlook you should see a prompt from the Email History add-in asking for your logon.
